Case study snapshot.

A compliance-heavy operations build with real constraints: sensitive records, staged intake, audit expectations, staff handoff, and a product roadmap beyond the MVP.

Business problem

PrimeCare needed a cleaner way to manage caregiver files, patient-related records, onboarding paperwork, expiring documents, and audit preparation without relying on paper folders and spreadsheet checks.

Constraints

The system had to support sensitive home-care operations, role-based access, Department of Health review habits, staged intake, document storage, and staff workflows that could not break during inspection prep.

Solution

We built a secure web platform with structured profiles, staged onboarding, compliance status views, OCR-assisted document capture, reminders, auditor access, and admin override controls.

Result

PrimeCare gained a working internal compliance MVP that gives staff one place to review records, spot missing requirements, prepare for audits, and keep improving the workflow in Phase 2.

Stack

AWS-hosted web app architecture with secure document storage, role-based access, activity logging, OCR-assisted document workflows, admin dashboards, and compliance-oriented data modeling.

Timeline

Phase 1 ran March 1, 2025 through July 31, 2025. Phase 2 automation, reminder logic, waiver controls, and multi-agency expansion readiness began August 1, 2025 and is ongoing.

What we built.

PrimeCare started as a paper-heavy home-care compliance problem: physical caregiver files, scattered onboarding documents, manual spreadsheet checks, and inspection prep that depended on staff memory.

We built an internal web platform that turns those workflows into organized digital profiles for office managers, HR coordinators, and compliance officers. The system keeps caregiver and patient records in one place, tracks document status, flags risk, and gives teams a clear picture of what is ready for Department of Health review.

The product is more than storage. It is a role-aware operations dashboard with staged onboarding, compliance scoring, auditor-only access, OCR-assisted document capture, expiration tracking, and room to support additional home-care organizations.

Core features and workflow logic.

The platform was shaped around the everyday pressure of staying organized, inspection-ready, and clear on what each caregiver file still needs.

Caregiver and patient records

Tab-based profiles organize identification, background checks, health screening, training, legal documents, and linked assignments around the way files are reviewed.

Staged onboarding

A secure intake flow captures identity details first, then opens the deeper employment paperwork and training steps after the early checks are complete.

Background-check logic

Out-of-state IDs are automatically flagged when a caregiver may need an FBI background check in addition to the state-level review.

Compliance status colors

Green, amber, and red status views help staff spot audit-ready files, missing requirements, expiring items, and blocked profiles without digging through folders.

Audit mode

Admins can grant temporary, read-only inspector access to selected caregiver profiles so reviews stay focused and controlled.

OCR document capture

Uploaded IDs and documents can be processed into structured data, making storage cleaner and reducing manual entry work.

Reminders and expirations

The platform tracks expiring certifications, incomplete onboarding steps, CPR, PPD, and annual in-service requirements with reminder logic.

Admin override controls

Compliance officers can waive selected internal documents when appropriate without blocking the caregiver approval workflow.

Challenges we solved.

The build translated real administrative habits into software instead of forcing staff into a generic dashboard.

Paper workflows became structured digital files

The old inspection-order folders were translated into tabbed profile views so staff and auditors could still find information in the expected order.

The dashboard was designed around audits

Instead of a generic admin panel, the system centers filters, readiness states, document gaps, and restricted inspector views.

The intake flow was split into practical stages

Identity verification happens before the full application packet, which helps prevent incomplete records from cluttering the system.

Compliance rules became visible

Required documents, optional internal protections, expiration dates, and manual overrides are handled as structured workflow logic.

Staff gained real-time status visibility

Instead of spreadsheet checks and paper review, teams can see missing documents, upcoming expirations, and audit readiness from the dashboard.

The platform runs on secure cloud infrastructure

The build uses AWS-hosted infrastructure, role-based access, secure document storage, and activity logging to support regulated operations.

Development journey and roadmap.

PrimeCare is built to keep improving: first as an internal compliance MVP, then as a broader automation and multi-agency platform.

March 1, 2025 - July 31, 2025

Phase 1 - Internal Compliance Platform MVP

  • Designed caregiver and patient record architecture.
  • Built staged onboarding from identity capture to background-check trigger to full application.
  • Implemented Admin, Staff, and Auditor role-based access.
  • Added green, amber, and red compliance readiness logic.
  • Integrated OCR-assisted document capture and structured storage.
  • Built Audit Mode and launched the AWS-hosted MVP.
August 1, 2025 - ongoing

Phase 2 - Workflow Automation and Expansion

  • Expanded conditional document requirements.
  • Added out-of-state ID flagging for FBI background-check review.
  • Built automated reminder cadences for incomplete and expiring requirements.
  • Added waiver logic for optional compliance documents.
  • Improved dashboards for expiration tracking and multi-agency expansion readiness.

Next expansion areas

  • Multi-agency expansion for additional home-care organizations.
  • A caregiver self-portal with document access and payroll visibility.
  • Advanced compliance analytics for expiring certifications, training renewals, and operational bottlenecks.
  • Automated regulatory summaries that can support state-level review.
