Business problem

Esdiac needed more than a basic form. The team needed a structured system for collecting applicants, tracking sources, assigning evaluators, scoring candidates, and moving shortlisted talent through a pipeline.

Constraints

The workflow had to support multiple talent categories, file uploads, evaluator review, admin visibility, app-download engagement, agency/source links, and fast-moving launch planning without overbuilding unapproved scope.

What we built.

Esdiac TIP is a custom talent application and evaluation platform for managing applicants across Developers, AI Geniuses, Brand Masters, and Sales/Marketing Gurus.

The system organizes applicant intake, profile details, category-specific questions, supporting uploads, portfolio links, app-download engagement, agency/source attribution, evaluator assignments, scoring, admin review, and shortlisted-candidate movement.

The core value is structure. Instead of chasing spreadsheets, emails, and disconnected review notes, Esdiac can manage applicant data, review progress, scoring, status changes, and pipeline decisions in one workflow.

Applicant intake

Applicants can create an account, provide contact and location details, choose a talent category, submit profile information, add portfolio links, upload supporting files, and complete required questions.

Category-specific applications

The application flow supports Developers, AI Geniuses, Brand Masters, and Sales/Marketing Gurus, with track-specific questions and evidence fields.

App download/connect flow

The flow was simplified from screenshot upload to a lighter download/connect experience with mobile deep-link behavior and desktop fallback confirmation.

Agency/source tracking

Source parameters can be captured during registration so Esdiac can connect applicants back to agencies, recruiting partners, or campaign links.

Evaluator dashboard

Evaluators can log in, review assigned applications, inspect applicant details, review uploads and portfolio links, and submit scores against defined criteria.

Admin dashboard

Admins can search applicants, view details, assign evaluators, review scores, update status, shortlist candidates, compare cohorts, and monitor progress.

Scoring workflow

The scoring system supports category-aware review criteria, multi-evaluator scoring, score visibility, variance tracking, and leaderboard-style comparison.

Talent pipeline board

Shortlisted applicants can move through a pipeline workflow with status updates, admin visibility, and audit trails around important changes.

Three role paths keep the application process easier to operate: applicant, evaluator, and admin.

Applicant flow

  • Create an account and complete account verification steps.
  • Choose a talent category and complete category-specific questions.
  • Add profile details, location, contact information, portfolio links, and supporting uploads.
  • Use the ESDIAC mobile app download/connect flow before continuing to later application questions.
  • Submit the application so admins and evaluators can review it inside the platform.

Evaluator flow

  • Log in to a dedicated evaluator dashboard.
  • Review assigned applicants, profile details, portfolio links, uploads, and category context.
  • Score candidates against criteria relevant to the selected track.
  • Submit evaluations so admins can compare review progress, score results, and candidate quality.

Admin flow

  • Search and filter applicants by category, status, source, location, and review progress.
  • Assign or remove evaluators and monitor submitted scores.
  • Shortlist applicants and move candidates through the talent pipeline.
  • Review cohort comparisons, leaderboard data, application status, and audit logs.

Implementation notes.

The build stayed practical around browser limits, source tracking, launch readiness, and scope control.

The app download/connect flow is best-effort. Modern browsers do not provide a guaranteed cross-device mobile app installation verification API, so the platform uses device/browser behavior and fallback logic.

Production scaling and load testing were discussed as launch-readiness planning, not represented here as completed auto-scaling work.

Agency/source tracking was kept lightweight for the initial scope instead of turning every source partner into a full agency account system.

Audit logging was designed around major workflow events such as applicant registration, uploads, evaluator assignment, evaluation submission, status changes, and pipeline movement.

Future expansion options.

The platform can grow as the applicant program, evaluator needs, and campaign volume mature.
